Our process

From first idea to long-term success

Seven clear steps — we plan, build, launch and stay with you. Larger systems are delivered in phases, each with its own scope and plan. We work remotely.

  1. Step 1:

    Discovery

Goals, users, rules, data, systems and success criteria.

  2. Step 2:

    Architecture & UX

Solution design, data flows, wireframes and prototypes.

  3. Step 3:

    Build & integrate

    Short iterations with regular demos.

  4. Step 4:

    Testing & UAT

Functional and security tests, then testing with your team.

  5. Step 5:

    Launch

    Deployment to your environment.

  6. Step 6:

    Hypercare

About a month of close monitoring, fixes and training — included.

    Included
  7. Step 7:

    Ongoing support

A fixed monthly maintenance plan keeps it running.

Your team

The people behind your project

Every project gets the roles it needs — and one fixed price, not hourly billing.

Project Manager

Plans the work, runs demos and keeps you updated.

Solution Architect

Designs the overall solution and its integrations.

Cloud / Azure Architect

Sets up secure, scalable cloud infrastructure.

AI Engineer

Builds the AI: agents, LLMs, NLP and OCR.

Data Engineer

Prepares, connects and moves your data.

Full-stack Developer

Builds APIs, back-end services and integrations.

Front-end Developer

Builds the screens your users touch.

UX Designer

Designs flows, wireframes and prototypes.

Business Analyst

Turns your needs into clear requirements.

QA / Tester

Tests functionality, security and accessibility.

Estimate with NOVA

Your estimate in a minute

Not sure what your project needs or what it will cost? You don’t have to be. NOVA asks a few questions about what you want to build and gives you an estimate — the team, the timeline, one fixed project price and the maintenance fee. Then you can adjust it.

  • Five quick questions
  • Team, timeline and one project price
  • Edit it, then send it to our team

An estimate, not a quote. Third-party costs (cloud, AI usage, messaging) are separate, and a firm quote follows a discovery call.

Ask NOVA for your estimate

Tell NOVA about your project — it builds the team and the price for you.

Pricing

We price the project, not the hours.

Three sizes cover almost everything we build. The size is set by what the system has to do and how many systems it touches — then the price is fixed before work starts.

Small A chatbot or a single automation with one or two integrations 1–2 months $2,000–$5,000

One-time build price in USD. A guide, not a quote — the fixed price follows a short discovery call. Not sure which size you are? Ask NOVA for an estimate.

  1. One fixed project price

After a short discovery call we agree the scope and quote one fixed, one-time price for the build. You know the full cost before work starts.

  2. Priced by what it does

Small, medium or large — set by what the system does, how many systems it connects to and how complex it is. No hourly billing.

  3. Change requests

Anything outside the agreed scope is quoted separately — and only starts after you approve it.

  4. Maintenance after launch

A small fixed monthly plan keeps it running: monitoring, bug fixes and minor updates.

05

Payments

Three payments, each one after you’ve seen progress.

  • 30% at contract signing
  • 30% at the mid-project demo
  • 40% after completion on staging, before go-live

On a project of , you would pay $3,000 when we sign, $3,000 once you have seen the working product, and $4,000 when it is complete on staging — before it goes live.

Type any figure to try it. An illustration only.

At signing
Development starts after the first 30% at contract signing.
Mid-project demo
When you have seen the working product at the mid-project demo.
Before go-live
After successful completion on staging or beta launch — before go-live on your own server.

06

Running costs

Your accounts, your bills. We add nothing on top.

Cloud hosting, AI models and messaging run on accounts in your name, and you pay the providers directly at their prices. Light usage can cost a few dollars a month; multi-environment enterprise stacks can cost a few thousand. We estimate them with you before building.

Paid to us

  • The buildone fixed price
  • Maintenance$150–$800 a month
  • Approved changesquoted first

Paid to providers, on your account

  • Cloud hostingmonthly, by size and number of environments
  • AI models (LLMs)per usage (tokens)
  • WhatsApp, SMS & emailper message or conversation
  • Other APIs & toolsper the provider’s plan

Licensing & ownership

  1. Ownership of code and intellectual property, and licensing of any reusable components, are agreed in each project’s contract.
  2. Third-party services stay under your own accounts and their providers’ terms.
  3. Open-source components keep their own licences.
  4. If a provider deprecates or changes an API after delivery, the update is a change request.
  5. How your data is accessed, stored and processed is agreed before any work starts.

08

After launch

Hypercare is included. Then a simple maintenance plan.

For about the first month after go-live we watch the system closely, fix issues fast, tune performance, train your team and hand over knowledge — with regular status reports. Then a fixed monthly plan keeps everything running.

Hypercare
Monitoring, bug fixes, tuning, training, knowledge transfer and status reports.
Maintenance plan
Monitoring, bug fixes and minor updates — a fixed fee by project size.
New features
Quoted as a fixed price and approved before any work starts.

09

Questions

Straight answers about cost.

01Can you give me a price for my project?

Yes. Use “Estimate with NOVA” above for an instant estimate. After a short discovery call we quote one fixed price for the build, based on your scope, integrations and complexity.

02Do you charge by the hour?

No. You pay one fixed, one-time price for building the project, in three milestones (30% at signing, 30% at the mid-project demo, 40% before go-live), then a small fixed monthly maintenance fee after launch.

03Are cloud and AI costs included?

No. They run on accounts in your name and you pay the providers directly at their own prices — we do not mark them up. We estimate them with you before building.

04Who owns the code?

Ownership of code and intellectual property, and licensing of any reusable components, are agreed in each project’s contract.

05What happens after launch?

About a month of hypercare is included: close monitoring, quick fixes, tuning, training and knowledge transfer. After that a fixed monthly maintenance plan ($150–$800 a month, depending on the size of the project) covers monitoring, bug fixes and minor updates; new features are quoted separately.

06What if a third-party API changes later?

If a provider deprecates or changes an API after delivery and the code must be updated, that work is handled as a change request.
