# What is an AI voice agent, and how does it work?

> An AI voice agent is an AI agent that talks on the phone: it listens with speech recognition, understands the caller with a language model, takes actions in your systems — such as booking an appointment or checking an order — and replies in a natural voice. It transfers the call to a person when needed and logs every conversation.

## How does an AI voice agent work?

1. **Speech-to-text** — converts the caller’s words into text in real time.
2. **Understanding and decisions** — a language model works out what the caller wants and decides the next step, following your instructions.
3. **Tools** — the agent checks your calendar, CRM or order system and takes allowed actions.
4. **Text-to-speech** — replies in a natural voice, fast enough to feel like a normal conversation.
5. **Telephony** — connects to your phone number for inbound and outbound calls, and can transfer to a person.

Speed matters on the phone: the system is designed so replies come quickly and the caller can interrupt, as in a normal conversation.

## What can businesses use AI voice agents for?

| Use | What the agent does |
| --- | --- |
| Answering calls | Picks up every call, answers common questions and takes messages after hours. |
| Appointments | Books, confirms and reschedules in your calendar. |
| Lead qualification | Asks qualifying questions and books a meeting with your team. |
| Intake | Collects the details a case needs before a person calls back (see [intake & triage](https://www.agenticaitechhub.com/solutions/intake-triage)). |
| Status updates | Tells callers the status of an order, booking or request. |
| Reminders and follow-ups | Makes outbound calls people have agreed to receive. |

## How is an AI voice agent different from an IVR phone menu?

A traditional IVR plays a menu — “press 1 for sales” — and routes the call. An AI voice agent lets callers say what they need in their own words, answers the question or completes the task, and routes the call only when a person is needed.

## What should you plan before launching a voice agent?

- **Scope** — which call types it handles and which go straight to people.
- **Hand-off** — when and how calls are transferred, and what happens out of hours.
- **Disclosure and consent** — tell callers they are speaking with an AI assistant, and follow the call-recording and outbound-calling rules that apply to you, such as US telemarketing rules for automated calls.
- **Data** — what is recorded and stored, where, and for how long.
- **Testing** — real call scenarios, accents and background noise before launch.

## How much does an AI voice agent cost?

At Agentic AI Tech Hub, a voice agent with one or two integrations — for example answering calls and booking into your calendar — is usually a **Small** to **Medium** project depending on scope ($2,000–$15,000 as a rough guide), with call minutes, speech and AI usage paid to the providers on your own accounts. A discovery call sets the real scope and price. See our [voice & conversational AI services](https://www.agenticaitechhub.com/services#conversational_ai).

## Frequently asked questions

### Does an AI voice agent sound robotic?

Current speech technology sounds natural, and the voice, pace and wording can be tuned to your brand. Callers should still be told they are speaking with an AI assistant.

### Can it use our existing phone number?

Usually yes — calls can be forwarded or routed from your current number to the voice agent through a telephony provider.

### Can it transfer a call to a person?

Yes. It can transfer live calls to your team, or take a message and create a follow-up task when no one is available.

### Can a voice agent make outbound calls?

Yes, for reminders and follow-ups that people have agreed to receive, within the calling rules that apply to your business.
